Caribe Royale Orlando: booth rentals and exhibitor notes

An all-suite resort near Walt Disney World with ballroom exhibit space, a segmented exhibitor network, and an on-site UPS Store and FedEx Office.

At a glance

The Caribe Royale Orlando is an all-suite resort whose on-site Grand Caribe Convention Center sets exhibits in ballrooms rather than a dedicated hall, with a segmented exhibitor Wi-Fi network and hardwired Ethernet in every ballroom. ConventionVendor.com rents booth TVs, iPads, and registration equipment delivered for move-in at the resort; confirm electrical and any outside-vendor rules with the resort's convention services team or your GSC.

Exhibiting at Caribe Royale

The Caribe Royale Orlando is a resort, not a public convention center: 1,217 one-bedroom suites and 120 two-bedroom villas sit beside the on-site Grand Caribe Convention Center on World Center Drive, about 1.5 miles from Walt Disney World Resort. The resort lists more than 260,000 square feet of indoor and outdoor event space, including the pillarless Palms Ballroom (50,000 square feet), the Grand Sierra (40,000), the Caribbean (26,000), and the Coral (13,087), plus 58 breakout rooms and The Grove outdoor lawn. There is no purpose-built exhibit hall; ballrooms do that job, and the facilities guide puts the Palms at about 250 10x10 booths and the Grand Sierra at about 200.

Conferences with a mid-size expo use it, including the NCCN Annual Conference, whose 2025 exhibit hall was set in the Palms Ballroom. The resort does not publish an exhibitor services manual or an exclusive-provider list, so electrical, rigging, and outside-vendor rules have to be confirmed with convention services or your show's general service contractor. Technology is a strength: Wi-Fi covers exhibit areas on a segmented network with a separate exhibitor segment, and hardwired Ethernet reaches every ballroom and meeting room. Shipping runs through The UPS Store on property, and a FedEx Office operates inside the Grand Caribe Convention Center.

Facts checked October 15, 2026 against the sources listed below. Schedules and providers can change from show to show; your exhibitor manual has the final word.

Power, internet, and Wi-Fi

  • The resort does not publish who supplies booth electrical or whether that service is exclusive, so ask convention services or your show's general service contractor how to order power.
  • Internet runs on the resort's own network: Wi-Fi covers exhibit areas, meeting space, and pre-function areas, with separate secure segments for attendees, exhibitors, production teams, and hotel operations.
  • Hardwired Ethernet is available in all ballrooms and meeting rooms, and custom dedicated networks can be built for a show. We found no published rule on exhibitor hotspots or access points, so check with the resort or show management before bringing your own.
  • Request a wired drop for payment terminals and demos. Our displays and laptops plug into whatever power the show arranges, and lead capture iPads can run offline if your app supports it.

Move-in and delivery

  • The resort's 2025 facilities guide shows loading docks and several roll-up doors into the ballrooms, including access off the Palms Driveway, and the Palms Ballroom has ground-level load-in.
  • No dock count or marshalling yard is published. Packages go through The UPS Store on property, or follow your general service contractor's shipping instructions.
  • Show management and the GSC set freight targets and move-in times for each event.
  • We arrange delivery to the resort for your move-in window and can be listed on an exhibitor-appointed contractor form if your show uses one.

What exhibitors rent at Caribe Royale

Before you exhibit at Caribe Royale

  • Ask which ballroom your exhibits are in; ceiling heights differ (Palms 22 feet 4 inches, Grand Sierra 24 feet 10 inches, Coral 25 feet), which matters for tall displays and banners.
  • Use the FedEx Office inside the Grand Caribe Convention Center for last-minute printing.
  • Before contracting outside AV, electrical, or rigging help, confirm with show management that it is permitted; Encore is the resort's preferred on-site AV provider.
  • Outside food and beverage is generally not allowed, so plan booth sampling or hospitality with the resort's catering team.

Schedules, deadlines, and service providers can change from show to show. Always confirm details in your show's exhibitor manual. Our exhibitor timeline lists what to order and when.
